More and more companies want to increase their efficiency and take advantage of automating their processes.

MULTIPLE SUPPLIERS

problem

The company supplies equipment from 12 major manufacturers. Price lists come in the form of xml and excel files with the number of product items from 10,000 pieces.

task

Need to create a single database of goods from all suppliers and automate the introduction and update the nomenclature from the files of suppliers.

client requests

PROBLEM

Medical institutions send requests for equipment in the form of excel files. The number of items in requests varies from 100 to 1000+. With such a large volume of requests, the search and selection of goods from the price lists of equipment manufacturers by managers' hands becomes inefficient and takes a significant part of an employee's time.

task

Automate the introduction of requests and the selection of the necessary nomenclature from a commodity items database of manufacturers.

COMMERCIAL PROPOSAL

problem

Based on the request from the client and the results of the selection of goods from manufacturers, a commercial proposal is formed. With the volume of goods that usually have to be handled, the formation of a commercial proposal takes a significant amount of time.

task

Automate the process of forming an offer according to a template accepted in the company, taking into account the discounts and bonuses of each specific client. Automate the process of sending an offer to the mail and, if possible, in messengers used by the customer.

SOLUTION - APPLICATION IN THE CRM BITRIX24

After analyzing the problems and tasks of the client, we proposed a solution in the form of a complex application for Bitrix24.

SUPPLIER PRICE LISTS

When you receive files with product line items from suppliers, they are uploaded to the application. There is an automatic sorting of files with product items and entry of goods in the database. As a result, the manager's work at this stage is reduced to uploading the supplier's nomenclature file to the form in the application.

INCOMING CLIENTS REQUESTS

An application was built into the company card to process the request file. When an incoming purchase order from a medical institution is received, the manager goes to the company card, downloads the file with the order, and, if necessary, specifies a preferred supplier. The application analyzes the request file and compares it with the current database of suppliers. If possible, it displays a list of analogues. If the goods cannot be matched, the manager is notified. Further, a deal is created with a list of items from the request file, with prices that take into account the discounts of the client.

COMMERCIAL PROPOSAL

Based on the goods in the deal, a document with a commercial proposal for the client is formed. The business process of coordinating an offer with the client is launched. The proposal is sent to the client's email box, and to the preferred messenger (skype, viber, telegram, whatsapp). The manager only needs to coordinate the proposal with the client.

PURCHASE REQUISITIONS

After agreeing the proposal with the client, an application is formed in the logistics department. The logistician generates requests to suppliers, and to the delivery service.

result

As a result of the implementation of our application, we were able to fully automate the most resource-intensive operations of updating the nomenclature from manufacturers, processing and selection of goods based on customer requests, completely eliminating the routine work.

The staff of 7 managers processing applications was reduced to 2 people, and the freed resource was redirected to the solution of other urgent tasks of the company.
